Inside a 50-Person Corporate Offsite in Vilamoura, Algarve
Planning a corporate offsite for 50 people is about much more than booking a hotel and a few activities.
Every part of the experience needs to connect: accommodation, meeting spaces, transfers, meals, entertainment and those moments when the team can simply relax and enjoy being together.
For this corporate group of approximately 50 guests, Algarve Group Experiences coordinated a multi-day company offsite in Vilamoura, combining productive business sessions with carefully planned social experiences.
The Brief
The client was looking for an Algarve-based partner who could coordinate the different elements of their company offsite and provide local support throughout the planning process.
The programme needed to balance two very different sides of the trip:
productive working time and memorable experiences outside the meeting room.
With around 50 people travelling together, logistics and timing were particularly important. Rather than having the client manage multiple local suppliers independently, our role was to bring the different pieces together and act as their point of contact in the Algarve.
Choosing Vilamoura as the Base
Vilamoura worked particularly well for this group.
With easy access from Faro Airport, a strong selection of hotels and conference facilities, restaurants, marina experiences and venues nearby, it provides the infrastructure needed for larger corporate groups while still feeling like a destination.
The group stayed at the Hilton Vilamoura, which also provided the spaces required for the business and conference elements of the programme.
This allowed the working sessions to happen conveniently at the hotel while we designed the social programme around them.
From Meetings to Experiences
The programme included a combination of business sessions and relaxed moments where the team could connect outside their normal working environment.
Rather than filling every available hour with activities, the focus was on creating a natural rhythm throughout the offsite.
One of the highlights was a private evening at a villa, giving the group a completely different atmosphere from the hotel and conference environment.
We coordinated the different suppliers involved in the evening, including catering, drinks and transfers, transforming it into a relaxed private celebration for the team.
Coordinating 50 People Behind the Scenes
For guests, a successful offsite should feel effortless.
Behind the scenes, however, coordinating a group of this size means managing multiple moving parts simultaneously.
Our role included coordinating elements such as:
- accommodation and hotel communication;
- conference and meeting arrangements;
- local suppliers;
- catering and drinks;
- entertainment;
- group logistics;
- timings and schedule coordination;
- on-the-ground support during the event.
Having one local point of contact meant the client didn’t need to manage each Algarve supplier separately.
And when adjustments were needed during the planning process, we could handle them locally and keep the overall programme moving.
A Private Evening in the Algarve
One of our favourite parts of the programme was the private villa evening.
After the more structured elements of the offsite, the team had the opportunity to enjoy a completely different setting together.
Good food, drinks, music and a private space created exactly the kind of environment corporate offsites are ultimately about: giving people time to connect beyond their everyday working routines.
It wasn’t about creating an overly formal event.
It was about creating the right atmosphere for this particular group.
The Result
The event brought together accommodation, business sessions, hospitality and private experiences within one coordinated programme.
Most importantly, the client could enjoy the offsite alongside their team rather than spending the trip managing logistics and suppliers.
